Letters to My Supervisees

Dear Students,

I am writing this note to share the expectations you should meet when working with me. Perhaps you are reading this because you chose to work with me; perhaps it is because someone else assigned you to me. Either way, I hope this list gives you a clearer sense of what is expected in our supervisor–supervisee relationship. I hope you will find it reasonable.

Please note that this is a professional relationship. If you have limited work experience, working with me may give you a good opportunity to practise professional communication, etc.

Below is my list of expectations.

Meeting with me

  • You can schedule a meeting with me here: https://calendly.com/kayalee/on-campus-zoom

    • If you need to cancel, you can also do so via Calendly.

    • You should probably see me monthly.

    • It would be appreciated if you could send me a meeting reminder 1 day before the meeting.

  • Show up on time. If you are running late, that is quite all right, but please let me know in advance.

  • Come prepared. Share any relevant materials (drafts, data, slides) at least 72 hours (3 working days) before the meeting so that I have time to review them.

  • After the meeting, send me a brief summary of agreed action items within 24 hours.

    • Please do this especially when the action item concerns reference letters.

Asking for feedback on written materials (drafts, etc.)

  • Allow me at least one week to return feedback on any draft. Plan your timeline accordingly.

  • Before sending, make sure you have proofread your work and run a basic spelling and grammar check.

    • I will return your draft to you if I deem it unreadable.

    • I will also do the same if I see a lot of AI crap.

Letters of recommendation

  • Request letters at least four weeks before the deadline.

  • Provide me with:

    • the official name(s) of the programme or position, together with the deadline;

    • your updated CV; and

    • any required forms or submission links.

  • Send me a reminder one week before the deadline if I have not confirmed submission.

Communication

  • E-mail is the primary channel of communication.

  • You can expect my replies within 1-2 working days.

    • I will not reply to you on weekends :P

  • In general, you should make it a habit to reply to professional e-mails within 24 hours (one working day).

General

  • Be punctual. Meet the deadlines, and show up to meetings on time.

  • Be proactive. It is your project, and you are the commander of your own ship; I am just here to guide your ship, not steer it.

  • I supervise multiple students simultaneously. Please be understanding of my response times and plan ahead.
